Administrative Assistant - Onsite Position

Responsabilités spécifiques

This key position will assist the Office Support team with internal and external customer engagement.  Responsible for assisting in front office activities, building maintenance and administrative support needs.


Front Office Activities
·    Manage the reception area to ensure effective telephone and mail communications
    both internally and externally to maintain professional image.
·    Coordinate and schedule video conference meetings.
·    Office supply management.
·    Coordinate office catering requests.
Building Maintenance
·    Proactively ensure property is consistently well maintained.
·    Manage vendor/technician relations to ensure property needs are accurately
    addressed in a timely manner according to agreement.
·    Source suppliers and vendors, obtain quotes for services, and negotiate contracts.
·    Review of vendor invoicing to ensure accuracy and obtain approval to pay.
·    Responsible for the facilities day-to-day operations (such as distributing building
    access keys and back-up to security access cards, etc.).
·    Any other building and property maintenance tasks as needed.
Other Responsibilities
·    Supervise the maintenance of office equipment and provide liaison assistance to our
    IT provider.
·    Offer support in the production and editing of documents and presentations
    using Microsoft Office for various departments.
·    Participate as needed in special department projects.

Expérience et formation

  • High School Diploma
  • Two years of experience in an office environment

Qualités et aptitudes

  • Excellent verbal and written communication skills, organizational abilities, and attention to detail.
  • Strong customer service orientation.
